Home Inspection Report Checklist: Reading the Deliverable

A home inspection report checklist is not the field tool the inspector carries through the property. It is the buyer-side companion to the document that lands in the inbox 24 to 48 hours after the walk. The report is typically 30 to 80 pages, includes hundreds of photos, mixes templated narrative with property-specific findings, and triages everything from a missing GFCI to a failing furnace into a single deliverable. This article is a section-by-section guide to navigating that document, so buyers can extract decision-grade information without drowning in pages.

What a Home Inspection Report Actually Is

Under ASHI and InterNACHI Standards of Practice, the inspector’s deliverable is a written report describing the condition of the readily accessible major systems and components observed during the visit. It is not a code-compliance certificate, not a warranty, and not a guarantee of future condition. It is a snapshot of observations on the day of inspection. The report follows the same major-systems structure as the field checklist, but adds narrative context, severity tags, photos, and a navigable summary.

Section 1: Cover and Engagement Pages

The first one to three pages of a report identify the property, inspector, date, time on site, weather conditions, who was present, and the inspection agreement. This section is administrative but matters because it documents the scope of the engagement (general inspection only, or with radon, mold, sewer scope, thermal imaging) and the standards followed (ASHI SOP, NACHI SOP, state-specific). Buyers should confirm the address and engagement scope match what was ordered.

Section 2: Definitions and Severity Legend

Most reports include a one-page key that explains how findings are classified. Common categories are safety, significant defect (or major repair), maintenance recommendation, monitor, and cosmetic. The exact wording varies by software platform, but the principle is the same: not all findings are equal urgency. The buyer should read this page before the rest of the report so the symbols and labels make sense in context.

Section 3: Summary of Findings

The summary is the most-read part of the entire report. Many platforms put it at the front (Spectora, Horizon) and some at the back (older HomeGauge formats). The summary lists every flagged condition in order of severity, with a click-through to the full row. For most buyers, the summary is what gets sent to the agent and reviewed during the resolution period. A short summary on a large home suggests the inspector found a healthy property; a long summary deserves a careful read item by item.

Section 4: Major Systems Sections

The body of the report walks the major systems in the order the inspector typically follows: site and grounds, foundation and structure, exterior, roof, attic, plumbing, electrical, HVAC, interior, kitchen, bath, garage, and safety items. Each system gets a header, a description of what was observed (materials, age estimates, configuration), and any deficiency rows with photos. Section 5: Photos and Annotations

Every deficiency row in a modern report includes at least one photo. Many include annotations: arrows, circles, or callouts pointing at the specific item. Buyers should treat photos as documentary evidence. If a photo is unclear or missing for a flagged item, asking the inspector for clarification is reasonable. Photos with location context (a wide shot establishing where the close-up was taken) are more useful than tight close-ups alone.

Section 6: Recommendations and Referrals

Inspectors do not write repair estimates, but they often recommend specialty follow-ups: a licensed electrician for an aluminum-branch-wiring concern, a roofing contractor for shingle replacement evaluation, an HVAC technician for refrigerant-level test on an older condenser. These referrals are the practical next steps. A useful exercise after reading the report is converting each recommendation into a single follow-up task in a project tracker so nothing is missed during the contingency period.

Section 7: Limitations and Exclusions

Every report includes a list of conditions that limited the inspection (snow on roof, no access to part of attic, locked utility room, no water service on the day of visit) and items excluded by the SOP (concealed conditions, code compliance, buried piping, life-expectancy guarantees). This section is where buyers learn what the inspector could not see. Re-inspection after a deferred condition clears (e.g., snow melt, utility activation) may be worth requesting if a major system was not fully evaluated.

Section 8: Ancillary Service Reports

If radon, mold, sewer scope, thermal imaging, or pool/spa inspection was added to the engagement, each typically produces a separate report (or a clearly labeled section in the main report). Radon includes the measured pCi/L average and the EPA action level (4.0 pCi/L). Mold includes lab results and IAQ context. Sewer scope includes a video file or screen-grabs of the pipe interior. Thermal imaging includes annotated infrared images. Each ancillary deliverable has its own decision logic.

What Buyers Should Do With Each Section

The pragmatic workflow once the report arrives is:

  • Read the summary first and bucket items into “must address,” “negotiate,” and “monitor.”
  • Walk the body section by section, opening each safety and significant-defect row and reading the narrative.
  • Note every referral recommendation as a task.
  • Identify any limitation that warrants a re-inspection.
  • Schedule contractor estimates for items above a personal cost threshold (commonly $1,000+) before opening negotiation.
  • Send the agent the summary plus the specific repair-or-credit asks, not the whole report.

Common Report Misreadings to Avoid

A few patterns trip up first-time buyers. A safety tag on a missing GFCI receptacle is not the same as a safety tag on a failing 60-amp electrical service. A “monitor” tag on a hairline foundation crack means watch over time, not panic. A “recommendation for further evaluation” is not a hidden disqualifier but a referral to a specialist whose scope exceeds the general inspector’s. Reading the narrative alongside the tag, rather than the tag alone, prevents over- and under-reacting.

How Long Reports Should Be Kept

Most homeowners keep the report indefinitely. It documents the property condition at the moment of purchase, lists deferred maintenance recommendations that can be scheduled over time, and provides a starting point for any future seller-disclosure obligations. Storage in the cloud is fine; a printed copy in the home file is a useful backup.

What a Strong Report Looks Like Section-by-Section

A well-built inspection report follows a predictable arc that a buyer can scan in ten minutes and study in detail in an hour. The first page is the executive summary: property address, inspection date, weather conditions during inspection, square footage approximation, year built, and the inspector’s license or certification numbers. Strong reports follow with a one-page deficiency summary that pulls every safety and major-functional item into a single triage list with the severity classification visible. That summary is what the buyer’s agent uses to start a repair-request conversation with the listing side.

The body of the report walks system by system in the same order the SOP defines: site and grounds, foundation and structure, exterior, roof, attic, plumbing, electrical, HVAC, interior, kitchen, bathrooms, appliances, safety, and garage. Each system section opens with a brief description of what was observed in general, then lists deficiencies with photos and narrative. Photos are paired one-per-deficiency, with annotated arrows or circles drawing the eye to the specific failure rather than a wide shot that leaves the buyer guessing. Recommendations follow each deficiency with three pieces of information: severity classification, suggested follow-up specialist where the general inspector’s scope ends, and rough urgency framing.

Severity classifications vary by software platform but typically cluster into safety, major functional, minor functional, and monitor or maintenance. The strong report uses these classifications consistently across all systems rather than treating them as suggestive labels. A safety tag on a missing GFCI in a wet location and a safety tag on a non-functional smoke alarm carry comparable urgency for life-safety reasons, even though the costs to remediate are very different. The closing pages typically include the inspector’s contract, scope-of-work limitations, and any addenda for ancillary services such as radon or sewer scope when those were bundled.

Red Flags in Weak Reports

Weak reports share a set of recurring patterns that experienced buyer agents learn to spot immediately. The most common is boilerplate language: phrases such as “appears serviceable,” “functioned as intended at the time of inspection,” or “no visible defects noted” applied repeatedly without supporting photos or specifics. When that language dominates a section, the inspector either rushed the system or used the SOP minimum as a ceiling rather than a floor. The buyer is left without enough information to negotiate or to plan future maintenance.

Missing photos for documented deficiencies are a second red flag. A narrative claim that “the water heater shows signs of corrosion at the base” without a photo leaves the buyer holding an unverifiable assertion. Repair contractors cannot scope without seeing the failure, and listing agents push back hard on text-only claims. No severity tiers, or severity classifications used inconsistently across systems, is a third pattern that makes the report difficult to triage. A report that flags every minor cosmetic note alongside genuine safety hazards forces the buyer to do the inspector’s triage work.

Vague recommendations are the fourth red flag: language like “consider having this evaluated” without specifying by whom or with what urgency. Strong reports name the specialist (licensed electrician, structural engineer, HVAC technician with refrigerant certification) and frame the timeline (before close, within six months, at next maintenance interval). Finally, the absence of any recommendations for follow-up specialists when major systems show concerning patterns is the report killer. A general inspector who finds stair-step cracking in a foundation wall and does not recommend a structural engineer follow-up has stopped short of the inspector’s job. Buyers who see these patterns should ask the inspector pointed questions or, when concerns are large, commission a second opinion from a different firm.
