Home Inspection Worksheet: Room-by-Room Buyer Format

A home inspection worksheet differs from a standard checklist by organizing findings room by room rather than system by system. Where a systems-based PDF lists “electrical” once and covers the whole house under that heading, a worksheet format gives every room its own row and forces the user to note plumbing, electrical, HVAC delivery, windows, and flooring within that single space. Buyers and DIY inspectors often find the worksheet format easier to use during a walkthrough because it follows the natural path of moving through the house.

How a Home Inspection Worksheet Is Structured

A home inspection worksheet is essentially a matrix. Rows are rooms and exterior zones; columns are the systems and conditions to check in each one. A typical worksheet has columns for ceiling and walls, floor, windows and doors, electrical outlets and fixtures, HVAC supply and return, plumbing fixtures (where applicable), and a notes column. Each cell takes a pass-fail-comment notation, allowing the user to capture observations quickly without writing narrative paragraphs.

The room order on a complete worksheet usually starts at the curb and moves clockwise around the exterior before entering. Inside, the order is typically: entry, living areas, kitchen, dining, hallways, bedrooms, bathrooms, laundry, basement or crawlspace, garage, and attic. Exterior Worksheet Rows

The exterior portion of a worksheet covers the site, foundation perimeter, walls, roof viewed from grade, gutters and downspouts, windows from outside, exterior doors, and any attached structures like decks, porches, or garages. Site items to capture include grading slope away from the foundation (ideally six inches drop in the first ten feet), surface drainage condition, downspout extension presence, walkway and driveway condition, and tree and shrub clearance from siding and roof.

Foundation rows record the visible material (poured concrete, block, stone, or brick), any cracks larger than a hairline, efflorescence (white mineral staining), parging condition, and the presence of weep holes where appropriate. Roof rows from grade include covering type and visible age, ridge and hip line straightness, visible flashing at chimneys and vent stacks, gutter attachment and pitch, and any obvious sagging or missing components. The worksheet flags items requiring a closer professional look rather than attempting to definitively diagnose them.

Living Areas, Kitchen, and Dining Rows

Each room row on the worksheet captures the same column set. In the living room, the ceiling row notes any staining, cracks, popcorn texture (a flag for pre-1980 lead and asbestos potential), and recessed lighting condition. The wall row captures plumb (corner-to-corner shimming), drywall condition, paint condition, and any cracks radiating from windows and doors that suggest framing movement. The floor row notes material, levelness (a marble test rolls toward low spots), squeak presence, and transitions between rooms.

The kitchen row is the most data-dense on any home inspection worksheet. Beyond the standard ceiling, wall, and floor columns, kitchens add cabinet condition, countertop condition, plumbing under sink (supply lines, drain, garbage disposal mounting), GFCI outlet test, exhaust hood operation, and appliance operation for each built-in unit (range, oven, dishwasher, microwave, refrigerator if conveyed). Many worksheets dedicate a full second row to kitchen appliances alone.

Bedroom and Bathroom Rows

Bedroom rows on the worksheet capture closet condition, smoke alarm presence and battery freshness, window operation (every window opens and closes; egress windows in basement bedrooms must meet code minimums for opening size), outlet count (a 12-foot wall must have an outlet per NEC), and any signs of past water damage at the ceiling. The HVAC supply row notes whether the room has a register and a return, or just a register relying on door undercut. Bedrooms without adequate return air tend to be either too hot or too cold relative to the thermostat location.

Bathroom rows are the second most data-dense area after the kitchen. Standard columns expand to cover toilet flush function and seat tightness, sink supply and drain, tub or shower function (run water for at least three minutes to check drain capacity), tile and grout condition, caulk integrity at fixture penetrations, GFCI outlet test, exhaust fan operation, and any visible mildew suggesting ventilation problems. Basement, Crawlspace, and Attic Rows

Basements get their own row even when finished, because the worksheet is also capturing the structure visible there. Columns include foundation wall condition from inside, floor condition (cracks, sealing, slope to drains), water staining at the cove joint where wall meets floor, sump pump presence and operation, dehumidifier presence and reading, mechanical room condition (water heater, furnace, electrical panel), and any obvious mold or musty odor.

Crawlspaces are checked by entry where possible and from the access hatch where not. Worksheet items include vapor barrier presence, standing water, insulation type and condition, visible plumbing and ductwork, post and beam condition, evidence of pest activity, and the height clearance overall. Attics similarly capture insulation depth, baffle presence at the eaves, ventilation type (ridge, soffit, gable, powered), exhaust fan termination (must go through the roof, not into the attic), and visible roof decking condition from underneath.

Plumbing, Electrical, and HVAC System Rows

Beyond the room-by-room matrix, most worksheets dedicate a separate section to the three mechanical systems as a whole. The plumbing system row records supply piping material (copper, PEX, galvanized, polybutylene), drain piping material (cast iron, ABS, PVC), water heater age (manufacturer date code on the label), capacity, temperature setting, T&P valve presence and discharge piping, and any visible leaks. Galvanized supply piping older than 50 years and polybutylene piping at any age are major flags for buyer follow-up.

Electrical system rows cover service amperage (typically 100, 150, or 200 amps), main panel manufacturer (flagging Federal Pacific Stab-Lok, Zinsco, or Challenger as known hazards), grounding visible at panel and outside, breaker condition, and the presence of GFCI in wet locations and AFCI in bedrooms per current NEC. HVAC system rows capture heating fuel type, system age, last service date if visible, filter condition, and any visible flue or vent issues. Worksheet Notation: Pass, Fail, Monitor, Repair

A useful worksheet uses a four-tier notation rather than a binary pass-fail. “Pass” means the item meets current standards and shows no defects. “Monitor” means the item works now but shows wear that warrants attention within the next several years (asphalt shingle near end of life, water heater past its warranty period). “Repair” means active correction is needed. “Safety” or “Major” flags the most serious findings: anything that risks injury, electrical fire, gas leak, structural failure, or significant water intrusion. How to Use a Home Inspection Worksheet During the Walkthrough

Bring the worksheet on a clipboard or tablet during both the buyer walkthrough before making an offer and the professional inspection after going under contract. During the buyer walkthrough, fill in cells as observations come up; the worksheet pace is necessarily faster than a paid inspector’s because the buyer is not opening panels or running every fixture. Adapting a Worksheet to Different Property Types

The standard room-by-room worksheet works well for single-family detached homes but needs adaptation for condominiums, townhomes, and multifamily properties. For condominiums, the worksheet adds rows for common-area limits (the condominium association covers some elements while the unit owner covers others), HVAC source (centralized building system versus unit-specific), and any shared mechanical equipment in the unit. The condominium’s CC&Rs and master insurance policy define which elements the buyer is responsible for.

For townhomes, the worksheet adds rows for party walls (shared with the neighboring unit), shared roof sections, and any shared mechanical infrastructure. For multifamily buildings purchased as investment property, the worksheet expands to include every unit plus common areas, mechanical rooms, and exterior building elements. The same matrix structure works; the row count expands and some columns reference shared responsibility rather than sole owner responsibility.

Using Photos and Voice Notes With the Worksheet

A modern worksheet workflow combines paper or digital cells with photo and voice-note documentation. Photographs capture conditions the cell notation cannot fully convey: the specific cracking pattern in a wall, the brand and model plate on equipment, the location of a stain relative to a fixture. Voice notes capture questions for the inspector that arise during the walkthrough but should not interrupt the inspector’s flow.

Many home inspection software packages now offer mobile apps that integrate the worksheet, photos, and voice notes into a single digital record. Buyers can use these tools alongside the inspector’s own report; sharing the digital worksheet with the inspector at the start of the appointment ensures the inspector knows what the buyer is most concerned about. The combined record (inspector’s report plus buyer’s worksheet, photos, and notes) becomes the permanent transaction file.

Worksheet as a Maintenance Document After Closing

The worksheet serves a second purpose after closing: as the baseline for ongoing home maintenance. The buyer’s notes on equipment age, last service date, filter type, and routine maintenance needs become the home’s maintenance log. Updating the worksheet annually (or after any significant repair or replacement) keeps the record current and supports both ongoing maintenance decisions and future sale preparation.

Items marked “monitor” on the original worksheet (asphalt shingle near end of life, water heater past warranty, original-build HVAC equipment) become the buyer’s maintenance priority list for the first three to five years of ownership. Items marked “pass” should be revisited every two to three years to confirm conditions have not changed. Worksheet Templates: What to Look for in a Good One

Several organizations publish free worksheet templates that homeowners can download or print. Digital Versus Paper Worksheets

Paper worksheets work well for fast walkthroughs and for buyers who prefer tactile note-taking. Digital worksheets (mobile app or tablet-based) offer photo integration, voice notes, automatic time-stamping, and cloud backup. Each format has trade-offs. Paper does not require a charged device or signal connectivity; digital does not require carrying multiple physical sheets. The right choice depends on the user’s preference and the walkthrough conditions.

Some home inspectors use digital worksheets as their primary tool during the inspection, with the worksheet feeding directly into the report-generation system. Buyers using their own digital worksheets alongside the inspector’s digital workflow can sometimes share notes in real time, accelerating the inspector’s response to specific concerns.
